FAQ – Notebooks for Mac 2
Synchronize Documents Between Notebooks on your Mac and iPad or iPhone
If you don't want to use external services like Dropbox or WebDAV servers for synchronization, you can synchronize documents between Notebooks on your Mac and iPad or iPhone directly. Notebooks for Mac has a WebDAV server built in for that purpose. This way, your documents never leave your own network.
This is how to set up synchronization between Notebooks on your Mac and an iPad:
- In Notebooks for Mac, open Preferences > Notebooks Server and start the server; a WebDAV server is now running on your Mac. When macOS asks you to allow incoming traffic for Notebooks, please agree. Now with the server running, Notebooks displays all the details necessary to connect from Notebooks on iOS.
- In Notebooks on your iPad or iPhone, open Settings > Sync and activate WebDAV; then open the WebDAV settings and enter the details presented in Notebooks for Mac. You can leave the start directory empty, but you might consider activating Sync Moves and Deletes and Sync System Files.
When you now open a book’s action menu, you find an option Sync <name of your server> which allows you to trigger a sync of the current book and its contents with Notebooks on your Mac – provided Notebooks for Mac is running and your devices are connected to the same wireless network.
Synchronize Notebooks for Mac with iPad and iPhone via Dropbox
If you use Notebooks on an iPad or iPhone and synchronize its contents to Dropbox, it is easy to pick up and work on the same documents with Notebooks for Mac.
- If you have not already done so, download and install the Dropbox client for Mac, a free download from the Dropbox website. This app automatically and continuously synchronizes the contents of your Dropbox (and with it the documents you sync from Notebooks on an iPad or iPhone) with a folder on your Mac.
- Select the Dropbox folder you use for synchronization from your iPad or iPhone as home folder for Notebooks on your Mac. By default, this folder is Dropbox/Notebooks, located in your user home.
With this setup, Notebooks for Mac displays the books and documents from your Dropbox sync folder and saves all changes and modifications to that folder. The Dropbox client on your Mac then syncs these documents to Dropbox, from where they find their way into Notebooks on your iPad or iPhone. - Currently, this is the most convenient and seamless connection between Notebooks on your iOS device and your Mac.
One of the benefits of Dropbox compared to other services is its history of changes, reaching back at least 30 days. If something ever should go wrong, there is always an easy way to restore the original documents.
Should you purchase Notebooks from the Mac App Store or from us directly?
The versions of Notebooks available from the Mac App Store and from our website are mostly identical, but due to the Mac App Store requirements there are a few minor differences. Apps sold through the Mac App Store need to adhere to macOS Sandboxing. This mechanism ensures that applications only access documents and folders that the user has explicitly selected. This selection is made when choosing a Notebooks Home.
Symbolic Links
The Mac App Store version Notebooks is not allowed to follow and resolve symbolic links if the link's target is outside of Notebooks' home folder or resides on a different partition. Folders seem empty and Notebooks displays their titles in a lighter color.
If you rely on hard links in Notebooks, we would recommend to download and use the versions available directly from our website.
Webarchives created in Notebooks don't open in Safari
Another side effect of Sandboxing: certain files created by applications are quarantined by macOS. When you double click to open them in Finder, macOS displays a warning and refuses to open them. – In the case of Notebooks, webarchives may be affected (they are created when you copy some formatted text and then choose New from Pasteboard).
To open these webarchives from Finder, right click on them, choose Open with > Safari, choose Open and enter your password. This removes the quarantine flag from the file, and from now on you can open it as usual.
If you are not afraid of using Terminal, you can use the following command which does not require your password:
xattr -d com.apple.quarantine <path/to/the/file>

When you launch Notebooks you can influence some of its settings and behavior by pressing specific modifier keys:
- Holding down the cmd key keeps Notebooks from opening the last viewed document (the document that was last viewed before closing Notebooks).
- When you hold the alt key, Notebooks ignores the currently selected Notebooks Home folder and allows you to select a different folder.
Both options can be used as trouble shooting options in case Notebooks gets stuck during startup.
Notebooks for Mac 2 provides a combined full text search and document filter in the footer of the document list (the second column).
- Filter the Current List
- As you start entering text in that field, Notebooks filters the currently displayed list and displays only the documents containing the given word or phrase in their title. This is handy when you look for a specific document in a long list: enter a few characters that are contained in its title to quickly turn up that document.
- The filter is available in regular books, but also in most of the smart books (even recent items and recently modified.) It operates on the list of currently displayed documents, so it does not look at the contents of nested books.
- To clear the filter and return to the regular list, just clear the text field.
- Full Text Search
- If you type return after entering the text, Notebooks starts a full text search. The scope of the search is by default limited to the current book (and the hierarchy below), but a checkbox right next to the search field allows you to change the scope to all books (that checkbox shows up as soon as Notebooks displays search results.)
- The search results appear as a list of documents, similar to the contents of a regular book. Notebooks does not display any preview for the search results, but displays the documents' paths instead.
- To clear the list of search results just clear the search field.
If you have been using Evernote as your note management solution and want to move your notes into Notebooks, you can do so with a few simple steps:
- Export your Evernote notes in
.enex
format. - Move the resulting file into Notebooks. You can do so by dragging it into a book in Notebooks' outline or document list.
- Select the file in Notebooks.
- Notebooks displays some status info and an import button In the right window. Click that button to extract your notes contained in the enex file and add them to Notebooks.
- Wait until the process has finished and you are done. You can now continue to work on your documents directly in Notebooks.
Once you purchase a license to unlock Notebooks 2, you can use it as long as you want, the license is 'yours'. There are no monthly or annual recurring fees.
Notebooks 2 is a paid update, so it requires its own license. There are three options to obtain a license and unlock Notebooks 2:
- Purchase Notebooks 2 from the Mac App Store,
- Unlock the trial version of Notebooks by purchasing a license directly from within Notebooks 2.
- Purchase a license from this site and unlock Notebooks 2.
These are perpetual licenses which do not expire. There are no recurring fees.
With the release of Notebooks 2, Notebooks 1 has been discontinued; you can still use Notebooks 1 as long as you want, but it will not receive any updates.
When you first launch Notebooks 2.0 and it asks you for its Notebooks Home (the folder where its expects your documents), just point it to the same folder you are using as Notebooks Home in Notebooks 1.x.
Notebooks for Mac stores its documents are regular files in folders on your Mac. Since Notebooks 2 and Notebooks 1.x are compatible, a migration process is not necessary. You can even run Notebooks 1.x and Notebooks 2.0 side by side without any issues.
No matter who you are, everyone loves to take pictures. These photos are memories that we want to preserve for a lifetime, or they can even be artistic ways that we express ourselves and want to show off around the home. This is why we like to get photos printed out, turned into books, turned into cards for special occasions, or even put them on mugs and other accessories.
Apple used to offer their own in-house photo printing service with its Photos app, but that was discontinued sometime in 2018. While Photos for Mac still has the option to get photo prints, it must be done through a third-party extension that you can get in the Mac App Store.
Let's go through the new way of getting photos printed on your Mac.
How to install a Photo Extension for Photos on Mac
- Launch Photos on your Mac.
- Select one or more photos that you want to print.Source: iMore
- Click File in the menu bar, or right click to bring up a menu.
- Hover over Create, then select what you want to print.
- Options include: Book, Calendar, Card, Wall Decor, Prints, Slideshow, and Other.

You are able to download as many apps as you want or need and use the extension with Photos. These apps will simply appear in the list of apps available when you select the Create option next time.
How to use a Photos Extension to print photos from Mac
Once you have some apps installed that support Photos Extensions, it's easy to use them.
- Launch Photos on your Mac.
- Select one or more photos that you want to print.Source: iMore
- Click File in the menu bar, or right click on the selected photo to bring up the menu.
- Hover the cursor over Create, then select what you want to print.

My personal method for photo printing from my Mac
I take a lot of photos with my iPhones. Whenever I'm out and about, I end up taking photos whenever I can if it's something interesting, or just those moments with friends and family that I want to remember. I usually just use those photos in my Day One journal entries, but sometimes there are significant life events that deserve something more. Here's how I get my important photos printed from my Mac.
Photos in the cloud
Currently, I use a combination of Dropbox and iCloud Photo Stream for keeping backups of my iPhone photos on my Macs.

I like Photo Stream because it's automatic and fairly seamless, and I use this over iCloud Photos because I still have albums on my iPhone that were synced from my Mac, and I don't want to remove those. Photo Stream lets me access my photos from the last 30 days, which is fine for me.
My permanent photo backup solution, which I use as a failsafe in case something goes wrong with Photo Stream, is Dropbox. Sometimes I end up forgetting to upload my photos for a few days, but I try to launch Dropbox at least once a day so my photos automatically upload to my 2TB Dropbox Plus account. I have years of photos in my Dropbox, so I can always browse it for what I need.
Free Mac Apps Downloads
For my wedding last year, I was given digital copies through Google Drive. I saved all of the photos to my hard drive, and then uploaded them into Dropbox in appropriately labeled folders.
When I need to get these photos into Photos on Mac, I simply import them from their source folder.
Create albums for what you want printed
As I said, I have a ton of photos. When they end up in Photos on Mac, it's kind of a big mess. I'll have to go through each Day to see what happened or go through a ton of photos in a folder, which I may not want all of them printed.
When I go through my pictures in Photos, I think about what I want to be printed. Whether it's just prints, or a photo book, or something I want to send my mom for the holidays, I think the photos I choose should tell a kind of story. Or just look good. I mean, why else would anyone want to print out photos?
To make it easier, I select the photos I want to print and create a new album for them. I label this album with what I want to do, such as 'Wedding Book,' 'Family Prints,' 'Christmas Cards,' etc. That way, these photos are already set aside, and I can quickly select them for printing.
Designing and ordering my projects
For my wedding, I wanted to have my favorite wedding photos arranged in a book to tell the story. While there are plenty of photo printing services out there, for this I chose to use Motif.
With Motif, it's easy to make a photo book in minutes. Just select your photos, then choose the size and format (hardcover or softcover) of your book. Then Motif loads up your photos in print-ready resolution, and you're off! As you pick a theme, it will give you some sample pages underneath the theme selector. If you want to go the easy route, just select Autoflow Book. With Autoflow, Motif goes through and picks out your best images and removes duplicates. You can always go back and add more photos, reduce the number of pages, and Motif will do all the heavy lifting for you.
If you want to have complete control, select Don't Autoflow. You'll then be able to design each page by choosing what photos should be shown, and you can add text to tell your story. Each page's layout can be changed if you aren't satisfied with it, you can add text along the bottom, or increase the size of a photo space if needed.
Personally, I like to put my photos in my book in chronological order. This way, it tells the story I want it to tell. I go with Don't Autoflow and it may take a while to get everything in the place I want it to be, but the result is my own creation, and it's well worth the time and effort. Motif is pretty easy to work with, as far as dragging photos around, resizing, swapping, etc. It also saves your work every few moments, so your work is safe.
If I am looking for individual photo prints, I prefer using Shutterfly, as I've used them before for several projects. With Shutterfly, you're able to choose the size and finish, put a message on the back of all prints, and select how many you want. They start at $0.12 for 4x6 and go up to $12.74 for a 12x36 print. The prices are decent, and there are often promo codes and deals. Shutterfly is also great for putting your photos on other items, such as travel mugs, totes, cards, canvas, ornaments, and pretty much anything else you can think of.
For designing things like mugs and totes, I like to pick out photos that hold a special meaning to me, or would just look good on some merch. Shutterfly's drag-and-drop interface on the web is intuitive and easy to use.
Personalize and print
While Apple may not be doing the printing themselves anymore, they made it easy to work with third-party photo printing services directly in the Photos app on Mac. Some (like Motif) are integrated directly into Photos, and others (Shutterfly) will need you to go to the website to complete your order, but it's all a seamless process.
